Guidelines for Presenters

Oral presentations (Technical Sessions and Special Sessions)

The duration of formal oral presentations is 15 minutes, followed by 5 minutes for questions. Please ensure that your presentation duration does not exceed 15 minutes. To ensure that everyone gets the most from the conference, the presentation schedule will be strictly enforced by each Session Chair. Usually, presentations with more than 15 slides are difficult to present within the available time.

Presenters are asked to verify that that all necessary presentation materials are in place and tested in their presentation venue, well before the session begins. Presenters are requested to find an opportunity in advance of the presentation to familiarise themselves with the venue and podium environment. The members of the conference committee will be available to help throughout the conference.

A PC is available in each room, at the conference venue, for speakers' use during their presentations. Speakers should upload their presentations to the venue PC at least 10 minutes in advance of the session that they are presenting in. To ensure that sessions proceed undisturbed, the presentations should be removed from the venue PC at end of the session, if required.

Presenters should complete the ShortBio form, print and deliver it to the their Session Chair, who will be available in the presentation venue 10 minutes before the session begins.


Dialogue presentations (Poster Sessions)

The dialogue sessions, during which the posters are presented, will take place on Wednesday and Thursday afternoon. Please see the preliminary program for the exact time and place of your presentation.

During the dialogue session no lecture sessions will be taking place. The dialogue presentation is very useful for prolonged discussions with specialists interested in your poster. The papers of the dialogue presentations will also be included in the conference proceedings and have the same importance as the papers from the lecture presentations. The dialogue session offers a great opportunity for presenting your work directly to other participants and discussing it with them.

Each presenter will be given a poster board with about 90 cm width for mounting and displaying the poster. The recommended format for the posters is A0, corresponding to a size of about 84 cm width and 120 cm height. Please, include the paper ID number assigned to your paper, which can be found in the author notification email, on the upper left corner of your poster for easy identification. Authors are responsible for bringing their poster to the conference venue and for mounting the poster before the sessions.

The presenter may set up his/her poster in the morning of the day on which he/she will be presenting the paper (or, at least one hour before starting the dialogue session). It is important that the speaker is present during the dialogue session. Your material must be removed by 6.30 pm on the day of the presentation. Any material that is not removed will be thrown away.

The necessary equipment (like adhesive tape) for setting up the poster will be provided by the organizers and/or can be collected at the conference counter.


PLEASE NOTE that any accepted paper included in the final programme is expected to have at least one author to attend and present the paper at the conference. Authors of the accepted papers included in the final program who do not attend the Conference will be subscribed to a “No Show List”. The “No Show List” will also be made available to the following conferences organizers, who can reject submissions from these authors in the following years, based on their past negative impact on the conference.
